How do I assign work items to a non-team member?

The first thing that needs to be questioned is 'Why is this person in the meeting if they are not on the team?' If they are a regular attendee and are commonly assigned tasks to complete, then its likely they should be a member of the team. If, however, this is a rare occurrence, then inviting people as required to the team meeting is the correct process.

 

The second thing to consider is the Team Configuration. If the Kanban Board is only visible to people in the team (i.e. a private board), then kanban items will not be able to be assigned to someone outside of the team.

 

If the boards in your team are all private, then the best way to address this is to create the work item in the Team Board relevant to the non-team member and link it to the current meeting. The work item will still be visible within the meeting, however, it will show on the Team Board it is relevant to.

 

To do this, firstly, while your meeting is in progress navigate to the team relating to the non-team member of the current meeting. In the below screenshot the meeting is being held for the Finance and Administration Team. Three of the attendees are team members, however, Amy is on the Delivery Team.

 

Click on All Teams, and then in this case Delivery Team

Click on Work, and then Add Item

Add the Item details and then click Save & Close

 

Because there is a meeting currently in progress the following message will appear. Link & Save to have this item appear within your meeting.

 

The Item will appear on the Delivery Team Kanban Board

If you navigate back to the meeting (by clicking on the red, Live button) then the item will also appear within the meeting framework

Remember to click back onto the meeting itself to view the details of the meeting, as the platform will stay defaulted to the latest Work Board
